RB Cleanmaker · Time Tracking
Privacy Policy

Who processes the data
RB Cleanmaker is the controller. The “Zeiterfassung” app is an internal tool for RB Cleanmaker’s own staff. It is not open to the public: accounts are created only by the office, and there is no self-registration.
What is stored
On the account, created by the office:
- Name and employee number
- Role (staff, office, administration) and the language the app is shown in
- Email address — for office and administration accounts only
- Hourly rate, where one is held for payroll
- PIN — as a hash only; the PIN itself is never stored
On each time entry, recorded by the member of staff:
- Date, site, service and the number of hours
- optionally start, end and break
- optionally a note
- optionally photos, which are reduced in size on the device before being sent
- an identifier for the installation, so it stays clear which device an entry came from
- a change log: who changed which value and when, with the old and new value
What it is for
Solely for recording working time and what follows directly from it: payroll, invoicing clients, and the record of working hours required by law. The change log exists so that a correction can be traced — by the member of staff as much as by the office.
What does not happen
There is no tracking. The app contains no analytics software, no advertising and no third-party components. No data is sold, rented or passed to third parties for advertising. Location is not collected. The address book is not read.
The camera and photo library are opened only when a member of staff attaches a photo to an entry themselves. Without that action the app accesses neither.
Where the data is held
Data is stored and processed in data centres in the European Union (Frankfurt am Main, Germany). Photos are held in private storage that is not publicly accessible; they can be retrieved only through short-lived, signed links.
Transmission between the app and the server is encrypted throughout (HTTPS). Entries recorded without a connection stay on the device until they can be sent.
How long
Time entries and the records belonging to them are kept for as long as employment, social-insurance and accounting retention obligations require, and are deleted afterwards. The account of someone who has left is deactivated; hours already recorded are retained, because they form part of the payroll and invoicing records.
Rights of the people concerned
Staff have the right to be told what data is held about them, to have inaccurate data corrected and, within the limits of the law, to have it deleted. Their own hours are visible in the app at any time, and their own entry can be corrected for as long as the office has not confirmed it. After that a correction goes through the office, so that it is recorded in the change log.
